Analytics

BedShift provides comprehensive analytics to help you understand your hostel's performance at a glance.

Dashboard

The analytics dashboard is your central hub for key metrics. It displays:

Occupancy

  • Current occupancy rate: Percentage of beds occupied
  • Occupancy trend: Line chart showing occupancy over the past 30/60/90 days
  • Occupancy by building/floor: Drill down into specific areas
  • Available beds count: How many beds are currently vacant

Revenue

  • Total revenue: Current month and previous months comparison
  • Revenue by source: Rent, utilities, meals, other charges
  • Collection rate: Percentage of invoiced amount actually collected
  • Outstanding amount: Total unpaid across all residents

Residents

  • Total active residents: Current count
  • New check-ins: This month
  • Move-outs: This month
  • Resident retention rate: How long residents stay on average

Complaints

  • Open complaints: Count and breakdown by priority
  • Average resolution time: How quickly complaints are resolved
  • SLA compliance rate: Percentage of complaints resolved within SLA

Reports

Generate detailed reports for specific time periods:

Available Reports

  • Revenue Report: Detailed income breakdown by category, payment method, and period
  • Occupancy Report: Historical occupancy data with trends
  • Resident Report: Active, inactive, and moved-out residents with their details
  • Staff Report: Attendance summary, leave balances, and payroll
  • Complaints Report: All complaints with status, resolution time, and SLA compliance
  • Invoice Report: Invoice generation, payment, and aging analysis

Generating a Report

  1. Go to Analytics > Reports
  2. Select the report type
  3. Choose the date range
  4. Apply any filters (building, floor, status)
  5. Click Generate
  6. View the report on screen or download it

Export

All analytics data can be exported:

  • CSV: For spreadsheets and accounting software
  • PDF: For formatted reports and presentations

Exporting Data

  1. Navigate to any analytics view or report
  2. Click the Export button
  3. Choose CSV or PDF
  4. The file is generated and downloaded

Exports include all applied filters and date ranges.

Daily Snapshot

BedShift generates an automated daily snapshot of your hostel's status:

What is Included

  • Occupancy rate and changes from yesterday
  • Revenue collected today
  • New bookings and move-outs
  • Open complaints count
  • Overdue invoices count

Receiving Snapshots

  1. Go to Settings > Notifications
  2. Enable Daily Snapshot
  3. Choose delivery method: Email, Push notification, or both
  4. Set the delivery time (e.g., 8:00 AM)

The snapshot is sent to all owners and admins by default. You can customize recipients in the settings.
