Today, we are launching BedShift — a complete hostel and accommodation management platform built from the ground up for the Pakistani market.

If you run a hostel, PG, or any shared accommodation, you know the daily grind: tracking who is in which room, chasing payments, generating invoices manually, dealing with maintenance requests over WhatsApp, and somehow keeping it all together with spreadsheets and notebooks. We built BedShift to end that grind.

Why We Built BedShift

The hostel market in Pakistan is massive and growing. Millions of students and working professionals need affordable accommodation. Thousands of operators provide it. But the tools available to these operators are either too expensive (enterprise hotel software priced in dollars), too generic (general-purpose accounting tools), or nonexistent (Excel and WhatsApp).

We saw this gap and decided to fill it. BedShift is not a hotel management system adapted for hostels. It is purpose-built for the way hostels actually operate in Pakistan — monthly billing cycles, security deposits in PKR, room sharing, bed-level management, and the regulatory requirements that come with running an accommodation business.

We spent months interviewing hostel operators across Lahore, Karachi, and Islamabad before writing a single line of code. The problems they described were remarkably consistent: scattered data across multiple apps, manual billing that consumes hours every month, zero visibility into occupancy trends, and no way to give residents a modern, self-service experience. BedShift addresses every one of these pain points.

What BedShift Does

BedShift is not a single feature — it is a comprehensive suite of over 40 integrated modules. Here is a closer look at the core capabilities.

Property Management

Organize your entire portfolio in a clear hierarchy: buildings, floors, rooms, and beds. Visualize your property tree at a glance. Upload photos, set room types, and manage amenities. Whether you have 10 beds in a single building or 500 beds across multiple properties, BedShift keeps everything organized. You can define custom room types — single, double, dormitory, suite — and attach amenities like air conditioning, Wi-Fi, or laundry access to individual rooms or entire floors. Every property gets its own dashboard showing real-time occupancy, revenue, and pending tasks.

Bookings and Check-In/Out

Create bookings with a few clicks. Assign rooms and beds based on real-time availability. Process check-ins and check-outs with a complete digital trail. Need to extend a stay, transfer a resident to a different room, or handle an early checkout? BedShift handles it all. The booking engine supports recurring bookings for long-term residents, waitlist management for fully occupied properties, and an availability calendar that updates in real time across all your devices. Each booking records the full lifecycle — from application through approval, check-in, stay, and eventual check-out — so you always have a complete audit trail.

Resident Management

Maintain complete resident profiles with personal information, identification documents, emergency contacts, and stay history. No more flipping through registers or searching WhatsApp chats to find a resident's CNIC number. BedShift also supports document verification workflows, so you can require and validate ID documents before confirming a booking. Residents can update their own profiles, upload documents, and manage their contact information through the resident portal.

Automated Invoicing

Set up your billing cycle once, and BedShift generates invoices automatically. Include rent, utilities, meal charges, or any custom line items. Invoices are itemized, professional, and delivered digitally to your residents. The system supports multiple billing cycles — monthly, quarterly, or custom — and automatically calculates prorated charges for mid-cycle check-ins and check-outs. Late fee policies can be configured per property, with automatic application when invoices go overdue.

Payment Tracking

Record payments as they come in. Track outstanding dues across all residents at a glance. Generate receipts automatically. With Safepay integration, your residents can pay online in PKR — and the payment is recorded automatically. BedShift supports multiple payment methods including bank transfers, cash, and mobile wallets. Every payment is linked to its corresponding invoice, giving you a clean financial record that is always audit-ready. Security deposit tracking is built in, with automatic refund calculations at check-out.

Staff Management

Add your team with role-based access. Your manager does not need to see your revenue dashboards, and your security guard does not need access to financial reports. BedShift lets you assign the right permissions to the right people. Beyond access control, the platform includes full staff management capabilities: attendance tracking, shift scheduling, leave management, payroll processing, and salary advance tracking. Staff can be assigned to specific properties, and their performance can be monitored through task completion metrics.

Maintenance Tracking

Residents submit maintenance requests through the platform. You assign them to staff, track progress, and close them when resolved. No more "I told you about the broken tap three weeks ago" conversations. Every request is timestamped, assigned, and tracked through to resolution. You can set priority levels, attach photos, and track resolution times. Recurring maintenance tasks — like monthly pest control or quarterly deep cleaning — can be scheduled automatically.

Analytics Dashboard

See your occupancy rate, revenue trends, outstanding dues, and operational metrics in real-time dashboards. Make decisions based on data, not gut feeling. BedShift provides over a dozen report types out of the box, including occupancy reports, revenue breakdowns, aging receivables, staff performance metrics, and property comparison reports. Reports can be scheduled for automatic delivery via email, or exported to Excel and PDF for offline analysis.

Utility Billing

Track electricity, water, gas, and other utility meters across your properties. Record readings, define rate slabs, and automatically generate utility bills that are added to resident invoices. The system supports both flat-rate and consumption-based billing, with configurable rate cards per utility type. Shared utility costs can be split across residents based on configurable allocation rules.

Communication Hub

Send announcements, share notices, and communicate with residents directly through the platform. The notification system supports push notifications, email, and in-app messages. Create notice boards for each property, send targeted messages to specific floors or room types, and maintain a complete communication log that replaces scattered WhatsApp groups.

The Mobile App

BedShift is not just a web application. We have built a full-featured mobile app using Flutter, available on both Android and iOS. The mobile app gives hostel owners and staff the ability to manage operations on the go — check today's arrivals, approve maintenance requests, record payments, and monitor occupancy from anywhere.

The app supports three themes (light, dark, and system), five languages (English, Urdu, Arabic, Hindi, and Chinese), and works offline for key operations. Data syncs automatically when connectivity is restored. Push notifications ensure you never miss a booking request, payment, or maintenance alert.

Residents also benefit from the mobile experience. They can view their invoices, make payments, submit maintenance requests, check mess menus, and communicate with management — all from their phones.
